Human Resources Specialist - Sacramento

Van Dermyden Makus Law Corporation is dedicated to conducting workplace and Title IX campus investigations in California.  We are an enthusiastic, fun and collegiate group of attorneys and other legal professionals who value excellence and integrity.  We are seeking a dynamic full-time Human Resources Specialist to work with the Firm’s Chief Operating Officer and Operations Staff in the Sacramento office.  This position is responsible for performing a wide variety of tasks and projects that involve human resources and recruiting, and requires a detail-oriented person who is eager to learn and can execute initiatives.  For information on our unique practice, please visit www.vmlawcorp.com.    

Key Responsibilities include:

  • Work closely with the Recruiting Coordinator, to monitor status of candidates

  • Prepare and send new hire offer letters

  • Execute new hire onboarding, including but not limited to scheduling new hire training, coordinating introductory meetings, and welcoming new hire to Team VM

  • Confirm new hire computer equipment, software needs and preferred Firm email address with IT Specialist

  • Communicate with outside benefits broker and 401(k) plan representative regarding new hires

  • Prepare and send new hire forms, such as Forms I-9, W-4 and DE 4, and the Direct Deposit Worksheet

  • Prepare new hire folders in the Firm’s document management system, Worldox, and save new hire training materials there

  • Complete and send de34 to EDD, for all new hires

  • Add new hires to LTD plan

  • Add new hires to ADP

  • Add attorney sick leave and vacation time to ADP; check professional staff sick leave and vacation time

  • Send out semi-monthly payroll reminder to all hourly staff

  • Process semi-monthly payroll and 401(k) contributions with COO oversight

  • Regularly review employee hire dates in relation to vacation accrual hours and update in ADP, as needed

  • Organize and update HR files on a regular basis

  • Announce monthly Firm birthdays and order employee birthday gifts

  • Work with the Chief Operating Officer to regularly review and update Employee Handbook

  • Monitor timing of required harassment prevention training and ensure all employees are compliant; schedule trainings when needed

  • Assist Executive Team with HR matters

  • Maintain detailed job descriptions for all Firm positions

  • At the direction of the Chief Operating Officer, create and update all annual professional staff self-evaluation and performance evaluation forms; distribute to professional staff with return deadlines

  • Schedule annual performance reviews for professional staff

  • Track and ensure HR files contain signed self-evaluations and performance evaluations for all employees; follow up with employees as needed

  • Regularly research best practices for employee retention

  • Schedule exit interviews; prepare and send offboarding materials for departing employees

  • Prepare and send annual open enrollment packets

  • Meet with the Chief Operating Officer on a regular basis, to discuss HR related projects and initiatives

  • Other projects, as assigned

Requirements:

  • Minimum two years of experience as an HR Specialist or HR Generalist, required

  • Prior experience with ADP or other payroll software, required

  • Bachelor’s degree required, preferably in Human Resources or Business

  • Prior experience with Ameritas 401(k) online platform or other 401(k) platform, desired

  • Must demonstrate good judgement and ability to strictly maintain confidential information.

  • High attention to detail and accuracy

  • Effective organizational skills and ability to use necessary computer applications, including the Microsoft Office Suite

  • Strong listening and communication skills

  • Must be able to maximize time and effort in addressing position responsibilities, as well as quick adaptation to changes in priorities

  • Positive, professional and approachable attitude and demeanor

  • Common sense, flexibility and the ability to work individually and as part of a team

  • Exceptional attendance

This is a full-time hybrid, non-exempt position, with the ability to work both in office and at home.  Hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. Compensation will be determined based on qualifications and experience.  Excellent benefits provided, including medical, dental, vision, LTD, and 401(k) with employer contribution.
