Intake Coordinator –                Sacramento, CA

We are seeking a hard‐working and detail‐oriented Intake Coordinator in our Sacramento, CA office. This is a full‐time, non‐exempt position with the ability to work in a remote or hybrid arrangement. The Intake Coordinator is responsible for managing all aspects of the firm’s intake process, from initial email or call to the receipt of a signed engagement letter: including client communications, contract review and drafting, and budget summaries. This requires an organized, detail‐ oriented person who has strong interpersonal communication skills and is eager to learn. To ensure success in this role, you should have a detailed understanding of Microsoft Office Suite, Adobe Pro and Zoom, and have past experience in client communications, contracts and project management. Hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.  Excellent benefits provided including medical, dental, vision, 401(k) with employer contribution, and paid Winter Break vacation. Key Responsibilities include:

  • Act as the first point of contact for current and potential clients to schedule calls and gather information related to new matters

  • At the direction of the Intake Partner, communicate with Partners and other Attorneys about their availability to handle the new matters

  • At the direction of the Intake Partner or Lead Attorney, create draft estimated budgets based on the request of the clients and information gathered during the intake calls

  • After the intake call, follow‐up with client to provide information and next steps in the process

  • Send out New Matter emails when new investigations are confirmed by the client

  • Track intake and matter status by updating the tracking spreadsheet

  • Prepare, send and follow up on engagement letters

  • In the event of a client‐generated retention agreement, review the contract for any inconsistencies with standard VM practices, as well as suggest mandatory VM provisions to be added to the contract

  • Upon receipt of a signed engagement letter, properly save it to the document management system

  • Perform research (e.g., on people, corporate entities, government agencies, etc.) related to new and potential matters, as requested by the Firm’s Intake Partner

  • Regularly speak with Attorneys to keep a pulse on workload and availability to take on new matters

  • Track Attorney caseload status by updating the tracking spreadsheets and providing a weekly summary to the Intake Partner

  • Analyze types of clients and matters engaged and clients and matters passed on

  • Once final a report has been sent to the client, follow‐up with client to obtain feedback on their experience with VM

  • With direction from the Intake Partner, complete intake client calls and make recommendations for Attorney assignments

  • Other projects, as assigned

Requirements:

  • Bachelor’s degree or equivalent, required

  • At least one year of client communications, required

  • At least one year of project management, highly desired

  • Previous law firm experience, including heavy exposure to intake, highly desired

  • Previous experience reviewing client contracts, highly desired

  • Strong listening and communication skills and the ability to accept and implement feedback

  • Must be able to maximize time and effort in addressing position responsibilities, as well as quick adaptation to changes in priorities

  • Positive, professional and approachable attitude and demeanor and the ability to collaborate with others

The salary range for this role is $65,000 ‐ $70,000 and represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience and qualifications.
