Billing and Accounts Receivable Specialist –Sacramento, CA

Van Dermyden Makus Law Corporation is seeking a detail-oriented and proactive Billing and Accounts Receivable Specialist to join our team. This is a full-time hybrid position located in the Firm’s Sacramento office. A successful candidate will manage the Firm’s billing operations, accounts receivable, collections, and client expense reimbursement processes. This role is critical to the Firm’s financial health and requires a strong understanding of legal billing practices, client service excellence, and financial management. The position reports to the Finance and Operations Manager and is a part of the billing team.

Key Responsibilities include:

Billing and Invoice Management:

  • Review and track client specific billing requirements and distribute information to attorneys and professional staff, as needed

  • Generate timely and accurate client invoices monthly in accordance with client engagement terms and billing requirements

  • Submit e-bills using various vendor platforms, ensuring successful transmission and compliance with each platform’s unique requirements

  • Collaborate with attorneys and professional staff to gather necessary documentation and information for accurate and timely billing

Accounts receivable and Collections:

  • Monitor aging receivables and implement proactive follow-up procedures on outstanding bills

  • Contact clients regarding past due invoices to determine payment status and timeline

  • Escalate accounts to attorneys, partners or managers when necessary to leverage additional collection efforts or when payment issues require senior-level intervention

Client Expense Management:

  • Enter client expenses into the billing program with proper documentation and matter coding

  • Maintain detailed records of all client-reimbursable expenses

Engagement Letter and Contract Management:

  • Maintain accurate and organized records of engagement letters, contracts, amendments and client documents

  • Review engagement letters, contracts and amendments for billing language and requirements

Requirements:

  • Minimum of two years of billing, accounts receivable or related financial experience, required

  • Proficiency with Clio billing software or similar professional services billing platform

  • Experience with LEEDS formatting standards for legal invoicing

  • Proficiency with Microsoft Office Suite

  • Excellent customer service orientation with ability to handle client interactions professionally and diplomatically

  • Strong attention to detail and commitment to accuracy in financial records and processes

  • Reliable and professional demeanor

  • Ability to work in an interactive, collaborative team environment with a customer service focus, both internally and externally

  • Commitment to continuous improvement, including adapting quickly to changes in priorities and processes

This is a full-time hybrid, non-exempt position. Standard hours are 8 a.m. to 5 p.m., Monday through Friday with 2-3 in-office days a week. A background check is required for employment. Compensation will be determined based on qualifications and experience.  Excellent benefits include medical, dental, vision, 401(k) with employer contribution, and paid Winter Break vacation in addition to the standard vacation bank. 

The salary range for this role is $68,000 - $75,000 DOE and represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will depend on several factors, including but not limited to, the candidate’s relevant experience and qualifications.
