Client Services Coordinator – Sacramento, CA
We are seeking a hard-working and detail-oriented Client Services Coordinator in our Sacramento, CA office. This is a full-time, non-exempt position with the ability to work in a hybrid arrangement. The Client Services Coordinator is responsible for handling all aspects of the Firm’s intake process, from initial email or call to the receipt of a signed engagement letter. Tasks include but are not limited to client communications, coordinating meetings, initial engagement letter drafting and review, prepare budget estimates, and coordinating with attorneys. The Client Services Coordinator will also be a member of the Firm’s Office Services team. This requires an organized, detail-oriented person who has strong interpersonal communication skills and is eager to learn. To ensure success in this role, you should have a detailed understanding of Microsoft Office Suite, Adobe Pro and Zoom, and have past experience in client communications, contracts, and project management. Hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. Excellent benefits provided including medical, dental, vision, 401(k) with employer contribution, and paid Winter Break vacation.
Key Responsibilities include:
Coordinate and operate the Firm’s intake functions. This includes tasks such as:
Act as the first point of contact for current and potential clients to schedule calls and gather information related to new matters
Schedule and attend intake calls with the Intake Partner
Prepare, send and track engagement letters
Create draft estimated budgets at the request of the client
Follow-up with client during intake process to provide information and communicate next steps in the process
Track intake and matter status through case management software
Send out New Matter emails when new investigations are confirmed by the client
Upon receipt of a signed engagement letter, properly save it to the document management system
With direction from the Intake Partner, complete intake client calls and make recommendations for Attorney assignments
Coordinate and organize the Firm’s case management functions. This includes tasks such as:
Regularly speak with Partner and Attorneys to keep a pulse on workload and availability to take on new matters
Track Attorney caseload status by updating the tracking spreadsheets and providing a weekly summary to the Intake Partner
Analyze types of clients and matters engaged and clients and matters passed on
In the event of a client-generated retention agreement, review the contract for any inconsistencies with standard VM practices, as well as suggest mandatory VM provisions to be added to the contract
Office tasks and responsibilities when in the office:
Handle inquiries from the public
Greet visitors and guests
Check and distribute Firm mail
Maintain cleanliness of kitchen and work room
Schedule and order lunches for the Sacramento or San Rafael office, when requested
Check copiers on a regular basis and refill with paper, when necessary
Run occasional Firm-related errands
Coordinate and arrange meetings, prepare agendas, and reserve facilities for VM team members
Prepare and send out mail and packages from the Sacramento or San Rafael office
Occasional travel to San Rafael office, if requested
Assist attorneys with making travel arrangements and booking accommodations
Assist Professional Staff team members with projects, when requested
Other projects, as assigned
Workload Estimates:
50% -75% - Intake and related tasks
25% -50% - Operations and administrative support
Requirements:
Bachelor’s degree or equivalent, required
At least one year of experience handling communications with clients, required
At least one year of project management, highly desired
Experience with case or project management software, like Clio Grow, highly desired
Previous law firm experience, including heavy exposure to intake, highly desired
Previous experience reviewing client contracts, highly desired
Strong listening and communication skills and the ability to accept and implement feedback
Must be able to maximize time and effort in addressing position responsibilities, as well as quickly adapt to changes in priorities
Positive, professional and approachable attitude and demeanor and the ability to collaborate with others
The salary range for this role is $65,000 - $70,000 and represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience and qualifications.
