Administrative Assistant – Sacramento, CA

Van Dermyden Makus Law Corporation is seeking a dynamic Administrative Assistant in the Firm’s Sacramento office. Our Firm specializes in conducting independent workplace and campus investigations and is known for professionalism, integrity, and high-quality work. This is a full-time, hybrid position based in Sacramento, with the expectation of working in the office two to three days per week. Standard business hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.

The Administrative Assistant supports Attorneys, Professional Staff, and the Office Services team with a wide range of administrative responsibilities. This role requires a detail-oriented individual who takes initiative, is proactive and approachable, and enjoys working in a collaborative professional services environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Services Support (In-Office Days)

  • Handle inquiries from the public

  • Greet visitors and guests in a professional and welcoming manner

  • Check and distribute Firm mail

  • Maintain cleanliness and organization of kitchen and workroom areas

  • Schedule and order lunches for the Sacramento office when requested

  • Monitor copiers and refill paper as needed

  • Prepare and send mail and packages

  • Run occasional Firm-related errands

  • Provide general Office Services support

Attorney and Staff Support

  • Assist attorneys, professional staff, and the operations team with administrative projects

  • Assist the Marketing Content Strategist and Coordinator with marketing-related administrative tasks such as document preparation and coordination

  • Provide administrative support to the Program Director for VM Mastered/T9 Mastered

  • Assist attorneys with travel arrangements and booking accommodations

  • Prepare monthly expense reimbursement reports and assemble receipts

  • Assist with client matter-related projects

  • Copy and prepare documents for attorneys and case editors

  • Manage and support transcription process using Rev.com

  • Upload and organize case-related materials in Dropbox and NetDocs

  • Support firm-wide administrative initiatives and projects as assigned

QUALIFICATIONS

  • Associate's degree highly desired; administrative experience in a professional services environment preferred

  • Proficiency with Microsoft Office Suite; excellent spelling, proofreading, written and verbal communication skills

  • Excellent interpersonal skills with ability to interact effectively at all organizational levels

  • Strong attention to detail, organizational skills, and ability to multitask and manage competing priorities

  • Excellent listening skills, adaptability, and willingness to accept and implement feedback

  • Positive, professional, and approachable demeanor with strong work ethic, reliability, and excellent attendance/punctuality

  • Ability to work both independently and collaboratively in a dynamic environment

Compensation and Benefits

The salary range for this position is $55,000 – $62,000 annually, depending on experience and qualifications. This range represents the Firm’s good-faith estimate of the compensation for this role at the time of posting. Final compensation will be determined based on relevant experience, skills, and internal equity considerations. This position may also be eligible for performance-based bonus consideration.
